For a boutique owner, the right budgeting question is not, "What does one lock cost?" It is, "What doors, workflows, and integrations must work on opening night?" If the property only needs front-desk keycards for guest rooms, the budget centers on lock hardware, keycard encoding, installation, staff permissions, and commissioning. If the property wants mobile keys, online check-in, stay extensions, or guests going straight to the room, the access-control scope has to include PMS coordination, guest identity workflow, mobile credential delivery, and support procedures for failed phones, changed rooms, early arrivals, and late checkouts.

Each version can be valid. Problems start when ownership expects the last one and the budget only covers the first.
Count Encoders, PMS Work, and Management Architecture
Front-desk hardware is easy to undercount. The management architecture also belongs in the budget. That may be attractive for a smaller hotel team, but it still requires decisions about internet resilience, administrator permissions, vendor access, cybersecurity policy, and who supports the system after opening.
The design team should resolve:
- Which PMS is in use now and whether it is changing
- Whether the access platform will be cloud-managed or locally managed
- How key issuance works during an internet outage
- Where encoders are located and who can use them
- Which staff roles can create, revoke, or audit credentials
- Whether mobile key is included at launch or planned as a later phase
Finishes, Door Prep, and Installation Labor Move the Budget
In a boutique hotel, visible hardware matters. Salto’s luxury-hotel material emphasizes premium finishes, designer looks, and hardware that aligns with the property’s fixtures and fittings. That makes finish selection a real budget item, especially when the hotel has custom millwork, historic doors, narrow stiles, nonstandard lock cases, or a brand standard for guest-room hardware.
Before a final budget, every door should be surveyed for handing, thickness, existing prep, latch and strike condition, fire-rating constraints, privacy requirements, and whether the existing mortise hardware can stay. Public corridors, back-of-house doors, and amenity doors often have different conditions. A scope that assumes every door is identical can look clean in a spreadsheet and then turn into field changes during installation.
Commissioning should be treated as its own work, not leftover time after installation. The project is not complete when the locks are mounted. It is complete when the front desk, housekeeping, engineering, management, security, and night staff can use the system correctly.
