Manhattan Boardroom AV Design for Hybrid Meetings

A practical guide to camera, microphone, AV-over-IP, lighting, shade, rack, and IT decisions that should be settled before a Manhattan boardroom buildout closes up.

A serious boardroom is not judged by how much equipment is visible. It is judged by whether the people at the far end can see faces, hear the room, follow shared content, and join the meeting without help.

For Manhattan offices, that means the AV design should be resolved with the architect, IT team, general contractor, lighting designer, and landlord requirements before the ceiling, millwork, and rack locations are fixed. Start With Sightlines, Not Camera Count

The first decision is where people will actually sit, stand, present, and look. A single camera may be acceptable in a small huddle room, but a boardroom with a long table usually needs a more intentional camera plan. The goal is not just a wide view of the room; it is a usable view of the active speaker, the previous speaker, and the presentation area.

Crestron describes Automate VX as a multi-camera speaker-tracking solution that uses microphone input, optical zoom cameras, and Visual AI assisted framing to keep remote participants focused on the conversation. That matters in larger rooms because remote attendees need facial expressions, eye contact, gestures, and reactions, not only audio and a distant table shot.

Before equipment is ordered, the design should answer:

  • Which seats need individual framing?
  • Is there a presenter position away from the table?
  • Will people use Teams, Zoom, or multiple conferencing platforms?
  • Are displays low enough for natural eye lines, or does the room force people to look above the camera?
  • Can cameras be mounted where they see faces without fighting glass walls, pendant fixtures, or architectural features?

Audio Coverage Is a Design Requirement

A boardroom can survive a less-than-perfect camera shot. It cannot survive bad audio. Microphones need to cover the people speaking, and loudspeakers need to cover the listener area evenly enough that speech stays intelligible without hot spots or dead zones.

AVIXA's audio coverage uniformity standard defines parameters and measurement procedures for assessing sound system coverage in defined listener areas, with the goal of consistent sound pressure levels throughout those areas. For a corporate boardroom, that translates into practical coordination: ceiling microphone locations, table microphone strategy, loudspeaker spacing, DSP design, acoustic treatment, HVAC noise, and the expected seating layout all affect the final result.

The room should be designed around the real meeting modes: board meeting, hybrid presentation, internal working session, training, and executive call. Each mode may need different microphone behavior, camera presets, display routing, and lighting levels.

AV-over-IP Belongs on the Network Plan

Modern conference rooms often need more than one display input and one output. A boardroom may need laptop presentation, a conferencing codec, digital signage, confidence monitoring, overflow viewing, recording, and divisible-room routing. That is where AV-over-IP can make sense, but only when the network is planned for it.

Crestron's DM-NVX-384 is specified as an AV-over-IP encoder or decoder with HDMI and USB-C inputs, 5K video transport over standard Gigabit Ethernet, copper or fiber connectivity, USB and KVM routing, web setup, and enterprise security features such as 802.1X, Active Directory credential management, TLS, SSH, HTTPS, AES-128 content encryption, and PKI authentication. Those capabilities are useful in a commercial office, but they also create coordination requirements.

The IT discussion should happen early and should include VLANs, multicast handling, switch capacity, PoE budgeting, security policy, device naming, remote management, and whether AV traffic lives on a dedicated network or the corporate network. For high-resolution video, details matter: Crestron's DM-NVX-384 documentation notes that the minimum bit rate for 4K60 video is 350 Mbps and that a lower bit rate may display a black screen. It also notes that USB-C video requires cables that support DisplayPort Alt Mode; not every USB-C cable will pass video.

Those are not finish-stage details. They affect switch selection, patching, cable standards, rack layout, user instructions, and support.

Lighting and Shades Are Part of the Meeting System

Boardroom lighting is not just a ceiling fixture package. It affects camera exposure, facial visibility, glare on displays, privacy, and fatigue during long calls.

Lutron positions office lighting and shading around conference rooms, collaborative spaces, open offices, and private offices, with conference-room scenes that can modify lighting, shades, and integrated AV devices at the press of a button. Its office guidance also discusses balancing daylight with interior lighting and adjusting automated lighting, shades, and color temperature in collaborative spaces.

In a boardroom, that should become specific scene logic:

  • Video Call: faces lit evenly, display glare reduced, shades positioned for daylight control.
  • Presentation: display contrast prioritized, presenter position lit, table still usable.
  • Board Meeting: balanced table light, comfortable ambient level, privacy shades as needed.
  • Cleaning or Service: full work light and equipment access.

Serviceability Is Part of the Design

A polished boardroom still needs a serviceable rack, labeled cabling, reachable endpoints, and a support path that does not require tearing apart millwork. The planned equipment location may be a closet, credenza, ceiling space, or shared IT room. That can work only if heat, access, cable bend radius, labeling, ventilation, and power are planned.

The right boardroom scope should leave behind more than a working demo. It should include documentation, network notes, source routing, control logic, device credentials handled by the client's policy, and a clear support process.

What to Resolve Before Buildout

Before approving a Manhattan boardroom AV package, ask for answers to these questions:

  • What are the room's primary meeting modes?
  • Which seats and presentation positions need camera coverage?
  • How will microphones trigger camera framing or presets?
  • What conferencing platforms must be supported?
  • Where do local HDMI and USB-C inputs belong?
  • Does USB-C presentation require DisplayPort Alt Mode validation?
  • Is AV-over-IP on a dedicated network or coordinated with corporate IT?
  • What lighting and shade scenes support video calls, presentations, and privacy?
  • Where is the rack, and can it be serviced without disrupting the room?
  • Who owns post-handover support, firmware, monitoring, and documentation?

A boardroom works best when AV, lighting, shading, network, and control are designed as one room experience. Treating those systems separately is how a good-looking conference room becomes difficult to use.
